Kansas CHWs can qualify through approved education, experience or reviewed reciprocity. The Coalition has reopened first-time applications in Certemy and announced a 2026 renewal transition. KanCare payment requires additional supervision and service conditions. This guide connects those workforce and payment rules with practical documentation, referral and software decisions. [1, 2, 4]

What do Kansas community health workers do?
KDHE recognizes CHWs as trusted links between communities, health services and social supports. The role can include education, navigation, coaching and advocacy. [7]
For an employer, define the worker’s population, service area, language skills, duties and clinical escalation route. A shared title should not hide differences between general outreach, a care-team assignment and a specialized funded program.
Keep the participant’s goal central. A useful service record explains the need, what the worker did and the next agreed action, even when a particular activity is not payable.
How do you become certified as a Kansas CHW?
KDHE lists education, work-experience and reciprocity pathways. The education route uses approved training. The experience route requires 800 hours over three years plus three recommendation letters. [1]
Choose the route before purchasing a course or preparing forms. Reconcile experience dates and duties with the people who can verify them. Keep paid and volunteer work clear.
The Coalition currently directs first-time applicants to pathway-specific Certemy links. Use its official page to enter the application system, and retain the submission and final award separately. [2]
Where can you find Kansas CHW training?
The Coalition’s education page lists providers and dated opportunities, including Garden City Community College, the Community Health Council of Wyandotte County and KU Medical Center. The listed programs describe classroom and service-learning components. [8]
Compare current recognition, schedule, learning format, fieldwork, cost and completion evidence. An older cohort’s free tuition or available seat should not be carried forward as a permanent promise.
For an employer-sponsored course, agree on paid learning time and service coverage. Ask how workers demonstrate communication, referral and documentation skills after class.
How does Kansas reciprocity work?
KDHE recognizes Missouri CHW-C and IHS CHR evidence within the described pathway. Other-state applicants must demonstrate equivalent standards and competency alignment for review. Recognition is not automatic for every credential. [1]
Kansas’ acceptance of Missouri evidence does not establish the reverse. KDHE explicitly states that Missouri does not accept Kansas certification through reciprocity. [1]
Store the original issuer and the Kansas decision. An out-of-state award should not become “Kansas certified” in a workforce directory before the Kansas process is complete.
What is different about Kansas CHW renewals in 2026?
The Coalition’s current transition notice says workers whose renewal is scheduled for 2026 will be considered in good standing through December 31, 2026. It says the standard renewal cycle and recertification applications will fully resume in 2027. [2]
Record the original expiration, the published transition basis and the next action. Avoid changing the original credential document or treating the extension as permanent.
Before a service or employment decision, verify that the worker falls within the notice and retain the status evidence. A different credential, a first-time application and a later renewal should not automatically inherit the transition rule.
What continuing education does Kansas require?
The ordinary requirement is 20 hours every two years, aligned to CHW competencies. Six hours must cover ethics and HIPAA, with both subjects included, and no more than 10 hours in one competency area. [3]
Track hours by topic as well as total. Retain course title, provider, date, category and evidence. A worker can meet the total and still miss the required subject mix.
The 2026 processing transition should not be interpreted as a permanent cancellation of education expectations. Use the Coalition’s current instructions for the individual renewal.
How should a worker organize CE during the system transition?
Keep the issued certificate, certification number, ordinary renewal date and the current transition notice together. The Coalition’s notice continues good standing through December 31, 2026 for workers whose renewal is scheduled in 2026; it does not replace a first-time certification decision or create a permanent extension. Coalition certification notice.
The CE guide asks workers to retain completion certificates and provide them when requested, while submitting the required report. Its HIPAA subsection specifically requests that training certificate with the hours. An employer can help track the evidence, but should follow the applicable reporting instructions rather than assume every supporting certificate is either always or never uploaded. Kansas CE guide, pages 2 to 3.
A useful tracker includes date, title, issuer, hours, competency and whether ethics or HIPAA content is included. Reconcile the six required subject hours and the ten-hour single-competency limit before the renewal deadline. Keep questions about credit acceptance open until the Coalition confirms them.
Who performs background and registry checks?
KDHE and the Coalition place employer-required background and registry checks with the employer rather than the certification application. The billing guidance also calls for retained certification and background-check documentation. [1, 4]
Keep the completed check, date, responsible reviewer and applicable employer policy in the appropriate restricted workforce file. Do not expose screening details in a participant chart.
A certification award and an employer’s clearance are different records. Supervisors should be able to confirm readiness without receiving unnecessary access to sensitive supporting material.
Which Kansas CHW services can KanCare cover?
KDHE’s billing guide includes screening, coaching, health-system navigation, education and care planning. It excludes activities such as targeted care management, personal-care tasks and duplicate KanCare services. An approved provider’s referral and documented service content and time are part of the described pathway. [4]
For mixed work, identify the actual activity and supporting plan. A task should not be relabeled simply because a familiar code is available.
Use the governing current service instructions and MCO agreement for the organization. The worker’s certification is necessary evidence but does not establish every condition of payment.
Who bills, and which codes apply?
KDHE’s Medicaid policy guide uses 98960, 98961 and 98962 with U7, and the supervising practitioner’s eligible individual or group-member NPI arrangement. It describes face-to-face services and daily and monthly limits. [5]
KDHE’s guide also identifies restrictions for RHCs, FQHCs and Indian Health Centers, including the shared-NPI physician-group situation. Those organizations should confirm their precise arrangement before assuming separate CHW reimbursement. [4]
Use the current fee schedule for the service date. The dollar figures in an older guidance document are not a substitute for a fresh rate and payer check.

What do the time limits mean for service records?
KDHE’s guide describes 30 minutes for one unit, a maximum of four units per member per day and 24 units per member per 30 days. The 30-day wording should not be casually changed to a calendar-month reset in a spreadsheet or software rule. Group codes distinguish two to four participants from five to eight, and U7 identifies the specified CHW qualification. KDHE policy and billing guide, page 5.
The guide requires service type and time to be documented, with a referral from an approved provider. Maintain the referral, actual activity and service duration together. A fictional worker who helps a participant navigate a health-related resource should explain the care-plan connection and outcome, rather than documenting only “helped client.” KDHE documentation requirements.
The guide lists telehealth place-of-service codes alongside face-to-face language. Confirm the actual modality requirements with KMAP and the responsible payer before implementing a remote-service workflow. A listed place-of-service code alone should not be treated as approval of every phone or video contact. KDHE place-of-service and billing sections.
What rural CHW funding is currently advertised?
KDHE’s October 16, 2026 announcement opens Year 2 Community Health Worker+Accountable Food is Medicine and transportation grant applications, due November 18, 2026 at noon Central. It states that final funding amounts depend on CMS approval of the Year 2 budget. [6]
The CHW+AFIM initiative integrates CHWs with clinical teams and nutrition-related interventions. A grant opportunity is distinct from a claim benefit and does not guarantee an award.
Applicants should use the live RFA, eligibility and submission instructions. Program leaders should keep proposed activities and confirmed award obligations separate until the funding decision is made.
What should Kansas CHW documentation and supervision show?
Recommended core fields include the participant’s goal, date, worker, program, contact method, activity, response, referral status and next action. Add the referral, care-plan, time and supervision evidence required by the actual payer or grant.
A supervisor should be able to distinguish education, resource coordination and another funded service. Preserve the actual worker’s authorship even when claim identity uses the supervising practitioner.
For a fictional food-access referral, record whether the participant accepted the option, whether the resource could serve them and what remains unresolved. Confirmed assistance is different from an application sent.
Which reports should a Kansas director review?
Use separate workforce, service and funding views. Workforce reporting should identify pathway, issued status, education topics and any applicable 2026 transition evidence. Service reports should distinguish unique people, contacts, open referrals and outcomes.
For a rural grant, use the actual award’s definitions and dates. Do not count a nutrition intervention as delivered merely because a CHW identified a need.
Trace reported totals back to source records. Preserve unknown outcomes, corrected notes and reporting-period versions so the director can explain a submitted result.
How do you choose Kansas CHW software?
Test qualification evidence, supervisor assignment, encounter documentation, referrals and reporting together. Confirm that employer screening evidence has different permissions from participant notes.
Explore community health workflows and the Smores Health platform. Bring one workforce checklist, a blank note and a required report to evaluate fit.
For a demo, use a worker covered by the 2026 renewal notice and a participant with a pending resource referral. Show the status evidence, service record, follow-up owner, supervisor correction and report export. Ask the vendor to distinguish current functionality from configuration.

Frequently asked questions
Can experience replace Kansas CHW coursework?
The work-experience route uses 800 hours over three years with three recommendations. Apply through the route that matches the applicant’s evidence. [1]
Does Kansas reciprocity mean Missouri accepts Kansas credentials?
No. KDHE expressly distinguishes the two directions. [1]
Are all Kansas credentials automatically extended through 2026?
The notice addresses CHWs whose renewal is scheduled for 2026. Verify the individual fits that group and retain the transition notice. [2]
Are six hours each of ethics and HIPAA required?
The guide states six hours covering those required topics within the 20-hour total, with both subjects included. It does not state twelve hours. [3]
Does certification guarantee KanCare payment?
No. The service, provider, supervision, documentation and payer conditions still need to be satisfied. [4, 5]
